The 11 best video production management software tools in 2026
Video production management software covers a lot of ground. Some tools start at the script and the call sheet, some are general project boards that happen to work for video, and some start at the cut and the client’s approval. Which one fits depends on where your work gets stuck. We build RecReview and run our own production company on it, so it comes first on this list, and you should read that entry knowing who wrote it. For the other ten, here is what each one does well, where it stops and what it costs in November 2026.
- Production company or agency that shoots, edits and delivers for clients: RecReview
- Film-style pre-production: breakdowns, shot lists, call sheets: StudioBinder
- Editors who live in Premiere and After Effects: Frame.io
- In-house team that manages much more than video: monday.com or ClickUp
- Agency that tracks budgets and profit per client: Productive
- Large organization with Gantt charts and resource planning: Celoxis
- Solo freelancer who also sends proposals and invoices: Plutio

What separates them
Where the tool starts. StudioBinder starts at the script: breakdowns, shot lists, storyboards and call sheets. monday.com, ClickUp, Productive and Celoxis are general project tools that you set up for video. Frame.io, Kollaborate and Shade start at the file. RecReview and Timeliner put the board and the review in the same place.
Whether the video is at the center. monday.com and ClickUp can hold the file and take timestamped notes on it, but the task comes first and review is one feature among many. In a review tool the cut is the center: the client comments on the frame and every version stays on the task. If most of your delays come from rounds of client changes, this matters more than any other feature.
Who pays for a seat. Per-user pricing is fine for five people in-house and gets expensive once editors, producers, freelancers and clients log in. monday.com starts at three seats and Celoxis at five. Timeliner includes client seats for free, Kollaborate’s team plans are a flat price and RecReview has unlimited users on every plan.
1. RecReview: best for production companies and agencies

Starting price: $49 a month, unlimited users
Every video is a task on a board, with its code, version, status, phase, owner, deadlines and logged hours. The card shows what the task is waiting on: client review, client assets or an internal review. Shoot days are planned in production plans that sync to Google Calendar, the script runs on a built-in teleprompter, and when the cut is ready the client reviews it on the frame from a link, with no account. See the project management page for how the board works.
Strengths
- Unlimited users on every plan, so clients and freelancers never cost a seat
- Two deadlines per task, and the internal one pauses while the video is with the client
- Shoot-day plans, teleprompter, time tracking and frame-accurate review in one place
- Client portal with every review, approval and delivery for that client
Limitations
- No Gantt chart, stripboard or script breakdown
- No free plan, only a 15-day trial
2. StudioBinder: best for pre-production paperwork
Starting price: Free plan; $29 a month for 1 user, $49 for 2
StudioBinder is where a lot of film and video crews write the script, break it down and send the call sheet. It covers screenplays, AV scripts, shot lists, storyboards, stripboards and call sheets, and it is very good at the days before the shoot.
Strengths
- The most complete set of pre-production documents
- Call sheets that crews already know
- Free plan
Limitations
- No video review or versions after the shoot
- Each plan caps the number of users
3. Frame.io: best for review inside Adobe apps

Starting price: Free for 2 members, then $15 per member a month
The best-known review tool, now part of Adobe. The Premiere and After Effects integration is the deepest in the category, and Camera to Cloud uploads takes straight from the set. Files can carry an assignee, a status and a due date, but it is a review tool, not a place to plan or schedule production.
Strengths
- Deepest Adobe integration
- Free plan for 2 members
- Camera to Cloud
Limitations
- No project board, shoot planning or time tracking
- Billed per member, and Pro stops at 5 members
4. monday.com: best for teams that manage more than video
Starting price: Free for 2 seats; $12 per seat a month, minimum 3 seats
A general work-management tool with flexible boards, many views and a large library of automations. A marketing or in-house team that also runs campaigns, events and requests can put video next to everything else.
Strengths
- Boards you can shape to almost any process
- Lots of automations and integrations
- Free for 2 seats
Limitations
- Review is one feature among many, not the center of the tool
- Billed per seat, with a 3-seat minimum
5. ClickUp: best for an all-in-one workspace on a budget
Starting price: Free plan; $12 per user a month
ClickUp packs tasks, docs, whiteboards, goals and time tracking into one workspace, with a free plan that goes a long way. Teams that want everything in one tool and don’t mind setting it up themselves get a lot for the price.
Strengths
- Generous free plan
- Docs and time tracking built in
- Many views of the same tasks
Limitations
- Billed per user once you outgrow the free plan
- Takes real setup before it fits a video workflow
6. Timeliner: best for small video agencies
Starting price: $89 a month with 5 seats (early-access pricing)
A newer tool made for video agencies. It puts frame-accurate review, client portals, a kanban board and editor workload in one product, which is the same bet RecReview makes. Its prices are labeled early access.
Strengths
- Built around video agencies
- Client seats are free
- Review and board in the same tool
Limitations
- Young product, and early-access prices can change
- 4K review needs the $199 Agency plan
7. Productive: best for agency budgets and profitability
Starting price: $12 per user a month
Productive is agency management software: budgets, resource planning, time tracking and profit per client and per project. It has a page for video production companies, and it is strongest on the money side of running one.
Strengths
- Budgets and profitability per project
- Resource planning across the team
- Time tracking tied to billing
Limitations
- No video review or production paperwork
- Billed per user, no free plan
8. Celoxis: best for Gantt charts and resource planning
Starting price: $10 per user a month, billed yearly, minimum 5 users
A project and portfolio tool for organizations that plan with Gantt charts, track resource capacity and report across many projects. A large in-house video department inside a bigger company may already have this kind of process.
Strengths
- Strong Gantt scheduling
- Resource capacity and portfolio reports
- On-premises option on Enterprise
Limitations
- Heavy for a small production team
- Yearly billing only, minimum 5 users
9. Shade: best for media storage and search
Starting price: $29.75 per seat a month, billed yearly
Shade stores your footage and indexes it with AI so you can search a library by what is in the shot. It adds review, approval and delivery on top, which makes it a media and asset tool more than a way to run production.
Strengths
- Search footage by what is in it
- Storage, review and delivery together
- 500 GB per seat
Limitations
- No task board or production planning
- Growth plan stops at 15 seats
10. Plutio: best for solo freelancers
Starting price: $19 a month for one person; teams from $49
Plutio runs a freelance business: projects and tasks next to proposals, contracts, invoices and a client portal. A videographer working alone can quote, schedule and bill from one place.
Strengths
- Proposals, contracts and invoices built in
- Client portal
- Flat price, not per user
Limitations
- The cheapest plan is for one person; teams start at $49 a month
- No video review
11. Kollaborate: best for review and file sharing on a budget

Starting price: $7 a month for one person; teams from $25 for 5 members
A long-running review and file-sharing tool for post-production, with flat team prices and a self-hosted option. It handles the cut and the client’s notes, not the rest of the project.
Strengths
- Low flat prices for teams
- Self-hosted option
Limitations
- No task board or production planning
- Small storage on the cheaper plans
How we compared them
We read each vendor’s own pricing and feature pages on November 3, 2026, and added what we learned running Silvertake, our production company, on spreadsheets, Frame.io and, since January 2026, RecReview. The table shows the cheapest paid plan with monthly billing, plus the free plan where there is one. Vendors change prices often, so check before you buy.
If you are still running production on a spreadsheet, the video production tracker template and the guide to setting up a kanban board for video are good places to start. For tools that only handle review and approval, see the best video review software.
Frequently asked questions
What is video production management software?
Software that keeps a video project moving from brief to delivery: tasks and deadlines for each video, shoot planning, versions, client feedback and approval. Some tools cover only one part, like pre-production paperwork (StudioBinder) or review (Frame.io), and some put the board and the review together (RecReview, Timeliner).
Can I use monday.com, ClickUp or Asana for video production?
Yes, many teams do. They are good at tasks, deadlines and automations, and monday.com and ClickUp let you leave timestamped notes on an uploaded video. They are general tools, though, so review is one feature among many rather than the center of the product. Teams with many rounds of client changes often add a dedicated review tool.
Is there free video production management software?
StudioBinder, ClickUp and Frame.io have free plans, and monday.com is free for 2 seats. Free plans limit users, storage or features. RecReview has a 15-day trial with no card instead of a free plan.
Which video production software doesn’t charge per user?
RecReview has unlimited users on every plan. Kollaborate’s team plans and Plutio are flat prices, Timeliner includes seats with each plan and doesn’t charge for client seats, and StudioBinder is a flat price per plan with a user cap. monday.com, ClickUp, Productive, Celoxis, Shade and Frame.io charge per user or seat.
What’s the difference between film production software and video production management software?
Film production software, like StudioBinder, Movie Magic or Yamdu, is built around the shoot: script breakdowns, stripboards, schedules and call sheets. Video production management software for agencies and production companies runs many short projects for clients at once, so it puts more weight on the task board, client review and delivery.
