Share a production plan

Updated September 2, 20262 min read

Share a plan so the crew and the client can read the schedule without an account. RecReview publishes it as a view-only page at a public link.

  1. Open the plan and click the share button in the header. Share options opens.
  2. Click Copy link. Anyone with that link can now read the plan.
  3. To restrict it, turn on Password protection and type a password. Guests then see Protected plan and have to enter it before the schedule loads.

Warning: Generate new link revokes access for everyone holding the previous link. Use it when a plan leaks or a shoot changes hands — not to “refresh” a link that works.

Email it to the client

Send to Client emails the plan with an access link, instead of you pasting the URL into a message.

  1. Click Send to Client.
  2. The client’s registered contacts are pre-filled. Add anyone else with Add external email….
  3. Send. RecReview tells you whether the email actually went out or only the share link was generated.

What a guest sees

The shared page is the schedule, not the editor. For each block a guest sees:

  • The start time and the block title.
  • Its type — Arrival, Talent, Break, Lunch, Setup, Wrap or Other.
  • Recording and Final video durations.
  • A link to the script, when the block has one attached.
  • The Meeting link, when there is one.

The block being shot right now is flagged LIVE. If the plan has a Google Meet link, guests get a Watch Live on Google Meet button.

Guests cannot edit anything, cannot see your other plans, and cannot reach the rest of the workspace. What they see updates as you edit: reorder a block and the shared page reflects it.

What’s next

If the shoot is also an event on the crew’s calendars, see Sync a plan with Google Calendar.

Frequently asked questions

Does the crew need a RecReview account to open the plan?
No. The shared plan opens at a public link. If you set a password, they need that; otherwise the link is all they need.
Can I revoke a link I already sent?
Yes. In the share options, use Generate new link. The previous link stops working immediately.
