Sync a plan with Google Calendar

Push a production plan to Google Calendar so the crew finds the shoot in their own agenda. RecReview creates one event and keeps it in step as the day changes.

Before you begin

Connect Google Calendar on your Account tab, and have a workspace admin pick which calendar receives plan events — see Connect Google Calendar.

Create the event

  1. Open the plan and find the meeting and calendar section in the header.
  2. Click Create Calendar event.
  3. Confirm who is invited. The plan’s assignees are pre-selected. You can include the client’s primary contact and add external addresses by hand.

The button then reads Manage Calendar event, the plan shows Synced, and Open in Calendar takes you to the event.

What ends up on the event

  • Title — the plan title.
  • Start — the plan’s date and start time.
  • End — the start plus every block’s recording duration. With no durations set, it falls back to one hour.
  • Description — the number of blocks and a live link to the shared plan, so a guest reading the invite can open the schedule.
  • Guests — the plan’s assignees.

From then on, editing the plan updates the event on its own. Add a block, move the start time, change the title: the event follows. Remove an assignee and they are removed as a guest. Anyone you added directly in Google is left alone.

Important: The sync runs one way. Changing the event in Google Calendar does not change the plan, and the next plan edit overwrites what you changed there.

Use Generate a Google Meet link. If the plan already has a calendar event, the Meet is attached to that event so it shows on the invite. Otherwise RecReview creates a standalone Meet space. Either way the link lands on the plan, and guests on the shared page get a Watch Live on Google Meet button.

Running it again does nothing — a plan keeps the link it has. To use a link from elsewhere, choose Paste link manually.

Turn a Google event into a plan

If the shoot was already booked in Google, do not create a second event.

  1. Open the calendar in the dashboard, with Show/hide Google Calendar events turned on.
  2. Click the Google event and choose Turn into a production plan?.
  3. Tick Generate a Google Meet link if the event has none and you want one.
  4. Click Create plan.

The plan adopts that event. Nothing is duplicated, and later plan edits sync into the same invite. An all-day event becomes a plan starting at 07:30, which you can change in the plan header.

If sync stops

An amber warning on the plan means your Google connection expired or was disconnected. Click it to reconnect. If the event was deleted in Google, RecReview says so and lets you create a fresh one.

Frequently asked questions

If I edit the event in Google, does the plan change?
No. The sync runs one way. The next edit you make to the plan overwrites the event's title, times and description.
