Send a video to the client (Smart Delivery)

Updated September 2, 20262 min read

Use Send to client when a cut is ready for approval. One action moves the task to client review, marks the version as awaiting review, writes the changelog, emails the recipients and fires the client’s webhook.

Before you begin

  • Your role needs the Send to client permission. An admin sets it in Workspace SettingsTeam.
  • The workspace needs at least one blocker in the client category. Without one, the action stops and asks you to create it first.

Send the delivery

  1. Open the version you want to deliver on the review page.
  2. Open the review actions and choose Send to client. The Send to Client dialog opens.
  3. Pick the recipients. The list suggests the client’s registered contacts, and you can type another address to add it.
  4. Add a Message (optional) for the client.
  5. Confirm.

If the client has a webhook configured, the dialog tells you it will fire.

What Smart Delivery generates

The delivery email carries a changelog written from the real history of the task, not from anything you type:

  • what changed since the previous version;
  • hours tracked on the task, for example 4h30m;
  • comments resolved out of the total;
  • how many versions the cut went through.

The same numbers go to your webhook, along with the review link, the download link and the thumbnail. See Webhooks.

What changes in the app

  • The version’s review status becomes Awaiting review.
  • The task starts waiting on the client blocker, so the kanban card shows where the ball is.
  • Both changes land in the task’s activity log.
  • Automations that watch Blocker added or Review status changed run.

Note: Recipients come from the client’s contacts, not from whoever clicked. If you pick nobody, the delivery goes to the client’s primary contacts — see Emails and notifications your client receives.

What’s next

The client answers from the portal — see Approve a video or request changes.

Your client has their own guide: For your clients — send it with the first delivery.

Frequently asked questions

What is in the changelog?
A short summary written from the version history: what changed since the previous version, how much time was tracked, how many comments were resolved and how many internal rounds the cut went through.
Can I send to more than one person?
Yes. Add every address to the recipient list. Typing an address that is not registered yet adds it as a contact of that client.
