A phase says how far a video has come: Planned, Pre-production, Production, Post-production, Finished or Cancelled. Use it when you need the long view of a deliverable, not the day’s board.
Phases and statuses are separate fields on purpose. A task can sit in In progress on the board while its phase is Post-production. The board says what the team is doing today; the phase says how much of the deliverable is done.
Set a phase
- Open a task. A panel opens on the right.
- In the Workflow section, open Phase.
- Pick the phase.
Three other routes set the same field: the Workflow section of the new-task form, Set phase in the actions bar after selecting several tasks, and dragging cards on a kanban grouped by Project Phase.
Filter and group by phase
In the Filter panel, Phase narrows any view to one phase. The Table view has a Phase column you can sort by. The active filter shows as a Phase chip you can remove with one click.
Add or edit a phase
Only workspace admins and owners can change phases.
- Open the avatar menu and click Workspace Settings.
- Go to Workflow, then the Phases tab.
- Under Add phase, type a Name, pick a Color, choose an icon with Choose icon, then click Add.
- In Configured phases, reorder with the arrows, rename in place, or delete.
- Mark a phase as Final when work that reaches it is closed.
Tip: Several default automations move phases for you. Starting a timer advances a task out of Planned, and delivering it moves the phase to Finished. Check Workspace Settings → Automations before you start changing phases by hand every day.
