Subtasks split one deliverable into the steps it takes — script, recording, editing, review. Add them when a task is big enough that “in progress” stops telling you anything useful.
Add a subtask
- Open the task. A panel opens on the right.
- Go to the Subtasks tab.
- Click New Subtask.
- Type the name and press Enter, or click Add.
Repeat for each step. A progress bar above the list shows how much is done, and the tab badge counts completed out of total.
Assign and complete
- Click the circle on the left of a subtask to complete it. Completed subtasks are struck through and dimmed.
- Use the dropdown on the right to assign the subtask to a workspace member.
- Hover a subtask and use the delete action to remove it.
Track time on a single step
Each open subtask has a play button.
- Click play on the subtask you are starting. The timer runs and the subtask moves to in progress.
- Click pause to stop it.
The hours land on the parent task — subtasks don’t keep a separate total. Starting a subtask timer stops whatever timer was running, because only one runs at a time.
Tip: Completing a subtask while its timer runs stops the timer for you.
Subtasks created by automations
Automation presets build chains where completing one subtask creates the next. The Video Production preset walks a task through Script → Recording → Editing → Internal Review → Client Review → Final Delivery. The Agency preset uses Briefing → Creation → Internal Approval → Client Approval.
Those chains match on the subtask title. Renaming a subtask an automation is waiting on breaks the chain silently. Change the rule instead, in Workspace Settings → Automations.
